QUEZON City — In preparation for the UP Open University Digital Repository, the University Library conducted a series of workshops on Digital Repository for all UPOU offices and units from May to June 2023. The University Librarian, Ms. Jennifer Belen-Bunao, served as the resource person for the conduct of the workshops.
The workshops aimed to guide offices and units in the identification, classification, and organizing of physical and electronic records, equip participants with knowledge on file naming conventions and the schedule of retenti0n and disposition, and assist in using the Digital Repository Accession Record.
The first workshop occurred on 10 May with five staff members from the Office of the Vice Chancellor for Academic Affairs (OVCAA) in attendance. The second was held on 24 May, with a total of fourteen staff members from OVCAA sub-units — Center for Open and Digital Teaching and Learning (CODTL), Office of Student Affairs (OSA), Office of the University Registrar (OUR), and University Library (UL) — joining the workshop. The third was scheduled on 1 June with seventeen staff members from the Office of the Chancellor and its sub-units — Budget Office, Information and Communication Technology Development Office (ICTDO), Office of the Legal Counsel, Office of Public Affairs (OPA), Office of Gender Concerns (OGC), Ugnayan ng Pahinungod, and Quality Assurance Office (QAO) — in attendance. The fourth workshop was organized for twelve staff members from the Office of the Vice Chancellor for Finance and Administration (OVCFA) and its sub-units and offices — Accounting Office, Cash Office, Human Resources and Development Office (HRDO), Supply and Property Management Office (SPMO), and Campus Development and Maintenance Office (CDMO) — on 6 June. The last workshop of the series was conducted on 15 June for fifteen staff members from the Faculty of Education (FEd), Faculty of Information and Communication Studies (FICS), and Faculty of Management and Development Studies (FMDS).
